Detail on Publishing Articles on KURENAI

This page describes how to make your articles open access via KURENAI.

Eligibility

All former and current affiliates may deposit original contents which they have produced at Kyoto University with the consent(s) of all co-author(s). The contents will remain accessible even if the author's affiliation changes.

How to Deposit Your Articles in KURENAI

  • You can apply the request via the KURENAI Deposit System (SPS-ID required).
  • For further information on how to use the KURENAI Deposit System, click here.
  • If you don\'t have an SPS-ID or have trouble using the KURENAI Deposit System, please follow the below "Application when the KURENAI Deposit System is not available."

Application when the KURENAI Deposit System is not available

  1. Please refer to the Copyright Transfer Agreement and check whether the publisher permits self-archiving in the author's institutional repository. If you are uncertain of the publisher policy, please contact us.
  2. Please send us two documents listed below;

    *Please fill in the information and send this form via intra-campus mail or the Kyoto University e-mail (kyoto-u.ac.jp).
      *Students are required to include their faculty research supervisor's e-mail addresses with the Kyoto University's domain name in CC.

    *Please fill in the information, stamp it, and send it via e-mail (please attach scanned data of the registration form).

Points of Deposit

  • Please send a version of the article that the publisher permits.If you are uncertain of the publisher policy on self-archiving, please send the final author's manuscript.
  • We will combine the main text, figure(s) and table(s) into a single PDF file, if they are submitted in separate files.
  • Please contact us if you have difficulty sending files via e-mail due to their large size, large number of contents, etc.
  • If you only have a printed version of article, please send it via intra-campus mail or other way. We will scan it into a digital format.
  • We will re-check and confirm the publisher policy on self-archiving.
  • We will publish your article on KURENAI. After publication, you will receive the email.

What You Need to Know about Copyright before Depositing Your Articles in KURENAI

If you, as the author, exclusively hold the copyright, you can deposit your articles in KURENAI. If the publisher or the academic society holds the copyright, you need to check the below information:

Does the publisher permit self-archiving in the institutional repository?

If you want to deposit and make open access to your articles that has been accepted by or published on an academic journal, or your book that has been published by a publisher, you need to check the publishing contract. The terms and conditions regarding self-archiving may be stated in the contribution rules, copyright rules, or copyright transfer agreement. Many publishers announce their copyright rules on their website, usually in a section such as "Copyright," "Permissions," "For Authors," or "Rights."

Many publishers permit to deposit in the institutional repository the "final author's manuscript," but NOT the "final publisher version."

Embargo period

Some publishers permit depositing the articles in the institutional repository no sooner than a designated period after the publication in the journal.

[Reference] Examples of publisher policy

Author(s) Posting of Articles to an Institutional Repository

[journal title] will permit the author(s) to deposit for display a "final peer-reviewed manuscript" (the final manuscript after peer-review and acceptance for publication but prior to the publisher's copyediting, design, formatting, and other services) 12 months after publication of the final article on his/her personal web site, university's institutional repository or employer's intranet, subject to the following:
* You may only deposit the final peer-reviewed manuscript.
* You may not update the final peer-reviewed manuscript text or replace it with a proof or with the final published version.
* You may not include the final peer-reviewed manuscript or any other version of the article in any commercial site or in any repository owned or operated by any third party. For authors of articles based on research funded by NIH, Welcome Trust, HHMI, or other funding agency, see below for the services that LWW will provide on your behalf to comply with "Public Access Policy" guidelines.
* You may not display the final peer-reviewed manuscript until twelve months after publication of the final article.
* You must attach the following notice to the final peer-reviewed manuscript:
"This is a non-final version of an article published in final form in (provide complete journal citation)."
* You shall provide a link in the final peer-reviewed manuscript to the [journal title] website.
